PRACTICE POLICIES
APPOINTMENT CANCELATION POLICY
We understand that sometimes appointments need to be rescheduled or canceled. To ensure the best service for all our clients, we kindly request adherence to the following cancellation policy:
1. Advance Notice: Please provide at least 24-hour notice if you need to cancel or reschedule your appointment. This allows us to offer the slot to another client who might be waiting.
2. Late Cancellations/No-shows: Failure to provide sufficient notice or a no-show for an appointment may result in a fee of 50% of the appointment cost. This fee is intended to cover the time allocated to your appointment. (not reimbursable by insurance)
3. Cancellation Process: You can cancel or reschedule your appointment by contacting us directly via phone, email, or our online booking system.
4. Exceptions: We understand emergencies and unforeseen circumstances can occur. In such cases, please reach out to us as soon as possible, and we'll do our best to accommodate your situation.
5. Repeated Instances: Repeated instances of late cancellations or no-shows may result in the requirement of non-refundable, pre-payment for future appointments or limitation on booking future appointments.
A $10.00 service charge will be charged for any checks returned for any reason for special handling.
TELEPHONE ACCESSIBILITY
Due to the demands related to the type of work that we do, we are often not immediately available by telephone. When we are unavailable, the office telephone is answered by voicemail that our staff monitors frequently. We will make every effort to return your call within 24 hours, except for weekends and holidays. If you are unable to reach us and feel that you can’t wait for us to return your call, contact your family physician or the nearest emergency room and ask for the psychiatrist on call.
SOCIAL MEDIA, TELECOMMUNICATION AND OUTSIDE CONTACT
Due to the importance of your confidentiality and the importance of minimizing dual relationships, I do not accept friend or contact requests from current or former clients on any social networking site (Facebook, LinkedIn, etc.). I believe that adding clients as friends or contacts on these sites can compromise your confidentiality and our respective privacy. It may also blur the boundaries of our therapeutic relationship.
If we see each other accidentally outside of the therapy office, I will not acknowledge you first. Your right to privacy and confidentiality is of the utmost importance to me, and I do not wish to jeopardize your privacy. However, if you acknowledge me first, I will be more than happy to speak briefly with you.
ELECTRONIC COMMUNICATION
I cannot ensure the confidentiality of any form of communication through electronic media, including text messages. If you prefer to communicate via email or text messaging for issues regarding scheduling or cancellations, I will do so. While I may try to return messages in a timely manner, I cannot guarantee immediate response and request that you do not use these methods of communication to discuss therapeutic content and/or request assistance for emergencies.
MINORS
If you are a minor, your parents may be legally entitled to some information about your therapy. I will discuss with you and your parents what information is appropriate for them to receive and which issues are more appropriately kept confidential. Patients under 16 years of age who are not emancipated, and their parents should be aware that the law may allow parents to examine their child’s treatment records. Because privacy in psychotherapy is often crucial to successful progress, particularly with teenagers, it is sometimes CORE COPING’s policy to request an agreement from parents that they consent to give up their access to their child’s records. If they agree, during treatment, clinicians will provide them only with general information about the progress of the child’s treatment, and his/her attendance at scheduled sessions. CORE COPING will also provide parents with a summary of their child’s treatment when it is complete. Any other communication will require the child’s authorization, unless we feel that the child is in danger or is a danger to someone else, in which case, a clinician will notify the parents of our concern. Before giving parents any information, we will discuss the matter with the child, if possible, and do our best to handle any objections he/she may have.
TERMINATION
Ending relationships can be difficult. Therefore, it is important to have a termination process to achieve some closure. The appropriate length of the termination depends on the length and intensity of the treatment. I may terminate treatment after appropriate discussion with you and a termination process if I determine that the psychotherapy is not being effectively used or if you are in default on payment. I will not terminate the therapeutic relationship without first discussing and exploring the reasons and purpose of terminating. If therapy is terminated for any reason or you request another therapist, I will provide you with a list of qualified psychotherapists to treat you. You may also choose someone on your own or from another referral source.
Should you fail to schedule an appointment for three consecutive weeks, unless other arrangements have been made in advance, for legal and ethical reasons, I must consider the professional relationship discontinued.
